How we handle your information under POPIA

This notice explains how your personal information is handled when you use the APSO Member Legal Clinics booking site, in line with South Africa’s Protection of Personal Information Act, 2013 (POPIA).

Who is responsible

The Federation of African Professional Staffing Organisations (APSO) is the responsible party for the information collected here. Its Information Officer is Violet Dlamini (info@apso.org.za, 063 297 1895, Block D, Stoneridge Office Park, 8 Greenstone Place, Modderfontein, 1644). Contact the Information Officer with privacy questions or to request access, correction or deletion of your information.

This booking site is operated for APSO and is covered by APSO’s full POPIA Privacy Policy.

What we collect and why

Providing your information is voluntary, but the required details are necessary to reserve a consultation. Please do not provide ID numbers, medical information, extensive employee or candidate personal information, or confidential documents in the form.

Who can see it

Booking information is restricted to authorised APSO personnel involved in administering the clinics and Danielle Statham as the legal consultant. It is never displayed to other members. The service uses secure website hosting and database storage, Cloudflare for network delivery, and Resend to send booking confirmations and internal notifications. These providers act as operators on APSO’s instructions.

Information processed outside South Africa

Some technology providers process or store information outside South Africa. Booking emails are processed by Resend in its Ireland (EU) region. Where information is processed outside South Africa, APSO requires appropriate safeguards and uses it only to provide and administer the booking service.

How long we keep it

Booking information will be retained only for as long as reasonably necessary to administer the clinic, address appropriate follow-up and meet applicable legal or operational requirements, after which it will be securely deleted or de-identified.

How we protect it

The site uses encrypted HTTPS connections. Booking records are stored in a protected database and the public booking page can check appointment availability without exposing members’ personal details.

Your rights

You may ask APSO to confirm what personal information it holds about you, request correction or deletion, or object to processing by contacting info@apso.org.za. You may also complain to the Information Regulator (South Africa) at inforegulator.org.za or POPIAComplaints@inforegulator.org.za.
